# CRM data enrichment: what to enrich, how often to run it and how to write results back safely

Enrichment fills the gaps in your CRM and refreshes what has gone stale. Here are the fields worth enriching, a schedule for each, and the write rules that stop it from overwriting good data.

By Enrich.chat Editorial. Updated October 15, 2026.

**Short answer:** CRM data enrichment adds missing details to your CRM records, such as work email, job title, company size and phone, by matching each record to an outside source. Enrich a record when it is created, re-check it before you contact the person, and refresh the whole database about once a year. Fill blanks first: HubSpot's automatic enrichment [never overwrites values](https://knowledge.hubspot.com/records/enrich-your-contact-and-company-data) set by a user or another system.

## Key takeaways

- Fields age at different speeds. In Cleanlist's weekly re-check of one 5,000-contact CRM, job titles changed at 43.6% a year and mobile numbers at 5.0%.
- Run enrichment at four moments: when a record is created, before you act on it, every quarter for accounts you work, and once a year for the whole database.
- Write rules matter as much as the data source. HubSpot's automatic enrichment fills only blank properties, while Salesforce's copy field enrichment overwrites a mapped field and the old value cannot be recovered.
- HubSpot's contact enrichment has no email or mobile property to fill, and its continuous refresh runs monthly. Salesforce's company info rules run about every 14 days.
- Store a status, a source and a checked date beside every enriched value, and turn on field history before the first run so you can undo a bad write.

## What is CRM data enrichment?

CRM data enrichment fills missing fields in your CRM records and refreshes old ones by matching each record against an outside data source. A contact with a name and a company website can come back with a work email, a job title and a LinkedIn URL. An account with only a domain can gain an industry and a headcount.

It is not the same as data cleaning. Cleaning fixes what you already hold, such as merging duplicates or standardizing country names. Enrichment adds or updates values from outside. Clean first, because enrichment on a messy database fills the same gap twice. Our guide to [what data enrichment is](https://enrich.chat/blog/what-is-data-enrichment/) covers the general idea. This page covers what is specific to a CRM: which fields, how often, and how to write the results back without damage.

Poor CRM data has a cost, according to the people who work in it. In [Validity's 2026 survey of 500 marketing professionals](https://aijourn.com/validity-releases-state-of-crm-data-management-in-2026-report-revealing-marketers-trust-in-their-data-hasnt-caught-up-with-their-ai-goals/), 62% of organizations said poor CRM data had directly cost them revenue. Nearly a third of teams spend six or more hours a week fixing and reconciling data. Only 21% said their CRM data is very well prepared to support AI. Validity sells data tools and these are self-reported answers, so read them as a signal, not a measurement.

## Which CRM fields should you enrich first?

Enrich the fields your team reads, routes on or sends with. A field nobody uses costs money and returns nothing. For most B2B teams the order is work email, job title, employer, phone, then company size and industry.

| Field | What it drives | Best match key | Re-check |
| --- | --- | --- | --- |
| **Work email** | The address you send to | LinkedIn URL, or name plus company website | Before each send |
| **Job title and seniority** | Routing, scoring and message | LinkedIn URL or work email | Every quarter |
| **Employer** | Which account the person belongs to | LinkedIn URL or work email | Every quarter |
| **Mobile or direct dial** | Calls and texts | LinkedIn URL | Once a year, and before a call campaign |
| **Company size, industry, location** | Segments, territories and fit | Company domain | Once a year |
| **Tech stack** | Fit and messaging | Company domain | Once a year |

Leave alone anything your own team creates: owner, lifecycle stage, lead status, notes and consent flags. Enrichment should never touch them. For the company columns, our guides to [firmographic data](https://enrich.chat/blog/firmographic-data/) and [technographic data](https://enrich.chat/blog/technographic-data/) explain what each field means. The [ideal customer profile](https://enrich.chat/blog/ideal-customer-profile/) guide shows which ones decide fit.

## How often should you enrich CRM data?

Enrich at four moments: when a record is created, before you act on it, every quarter for the accounts you work, and once a year for the whole database. This is a schedule we suggest, not an industry standard. It follows from how fast each field changes.

Fields age at different speeds. [Cleanlist](https://www.cleanlist.ai/blog/2026-04-07-state-of-b2b-data-quality-2026) re-checked 5,000 contacts from one customer's CRM every week for 13 weeks in 2026 and counted a change in any tracked field. Figure 1 shows its yearly rates. Titles changed fastest and mobile numbers slowest.

**Figure 1: How fast each CRM contact field changes in a year.** Bar chart of yearly change rates by field, annualized from Cleanlist's weekly re-check of 5,000 contacts in one CRM in 2026. Job title 43.6 percent, company 30.6 percent, work email 18.8 percent, office direct dial 14.5 percent and mobile phone 5.0 percent. A suggested check interval sits beside each bar: every quarter for title and company, before each send for email, and once a year for the phones.

*Share of contacts whose field changed, annualized from weekly re-checks of one 5,000-contact CRM over 13 weeks. The check intervals are our suggestion. This is one vendor's study of one CRM, so read the order, not the exact rates. Source: [Cleanlist, State of B2B Data Quality 2026](https://www.cleanlist.ai/blog/2026-04-07-state-of-b2b-data-quality-2026).*

Cleanlist sells verification, and it did not publish the sample size for each field. Our guide to [B2B data decay](https://enrich.chat/blog/b2b-data-decay/) compares every published rate and shows how to measure your own with a sample of 200 records. The four moments below follow from the order in Figure 1.

- **When a record is created.** Enrich before your routing and scoring rules read the record. A lead routed on an empty company-size field lands in the wrong queue.
- **Before you act on it.** Check a work email's status before each send, and a mobile before each call campaign. Bounces cost sender reputation, as our [email bounce rate](https://enrich.chat/blog/email-bounce-rate/) guide explains.
- **Every quarter for accounts you work.** Re-check title and employer on open deals and named accounts.
- **Once a year for everything else.** Refresh the whole record, and refresh it sooner when a bounce or a reply saying the person has left shows it is stale.

## How do you enrich a CRM, step by step?

Fill one field at a time on a small sample, read the results, then widen the run. Six steps cover it.

1. **Count the gaps.** Report how many records lack each field you chose. This is your baseline.
2. **Deduplicate first.** HubSpot [deduplicates contacts by email address and companies by domain name](https://knowledge.hubspot.com/records/deduplication-of-records), but companies created through its API are not deduplicated by domain. Salesforce lists records added through its import tools or its APIs among the cases where [duplicate rule settings are overridden](https://help.salesforce.com/s/articleView?id=sales.duplicate_rules_overview.htm&language=en_US&type=5) and no alert is shown. Match before you write, so one person does not become two.
3. **Choose a match key.** Send the strongest identifier you have: a LinkedIn URL, then a work email, then a name with a company website. HubSpot's own enrichment [needs a first name, last name and work email](https://knowledge.hubspot.com/records/get-started-with-data-enrichment) for a contact and a domain for a company, and it skips personal addresses.
4. **Run a pilot.** Enrich 25 to 50 records and read every result: right person, right company, right status. Fix the key before you spend on the rest.
5. **Write back by rule.** Apply the overwrite rules in the next section, and store a status, a source and a checked date beside each value. Mark records the source could not match, so a workflow does not retry them every night.
6. **Schedule it and count again.** Run the schedule above, then recount the gaps. A field still empty after a run usually means the source does not have it.

You can run the lookups from a workflow, an AI agent or a script. HubSpot workflows have an [Enrich Record action](https://knowledge.hubspot.com/records/enrich-your-contact-and-company-data) for HubSpot's own data. Salesforce Flow can call a REST API endpoint with an [HTTP Callout action](https://help.salesforce.com/s/articleView?id=platform.flow_http_callout_configure.htm&language=en_US&type=5), so an outside source can feed a flow.

## Should enrichment overwrite what is already in your CRM?

Not by default. Fill empty fields automatically, and replace a filled field only under a rule you chose for that field. HubSpot's automatic enrichment [fills only blank properties](https://knowledge.hubspot.com/records/enrich-your-contact-and-company-data) and does not overwrite values set by a user or another system. Its manual enrichment lets you choose between filling blanks and overwriting.

Salesforce shows the risk of the opposite default. Its [copy field enrichment](https://help.salesforce.com/s/articleView?id=sf.c360_a_create_a_copy_field_enrichment.htm&language=en_US&type=5) overwrites data in a mapped field, and Salesforce says the overwritten data cannot be recovered. Its [enrichment considerations](https://help.salesforce.com/s/articleView?language=en_US&id=sf.c360_a_enrichment_considerations.htm&type=5) advise mapping to a new field that holds only the enriched data. Figure 2 turns these cautions into one rule for a single field.

**Figure 2: What to write when a lookup differs from your CRM.** A decision ladder for one CRM field after a lookup returns a value. If the field is empty, fill it and store the status, source and date. If the value is the same, keep it and update only the checked date. If your value is trusted because a rep typed it or it got a reply, hold the new value in a review field. Otherwise replace the value and keep the old one in history. An email exception says that a new email with a catch_all or unknown status is held, so a working email is never replaced.

*A write rule for one field after a lookup. It is our suggested policy, built from the fill-blanks default in [HubSpot's help pages](https://knowledge.hubspot.com/records/enrich-your-contact-and-company-data) and the data-loss warning in [Salesforce's](https://help.salesforce.com/s/articleView?language=en_US&id=sf.c360_a_enrichment_considerations.htm&type=5).*

A workable policy by field: fill email, phone and LinkedIn URL only when empty. Let title and employer be replaced after review, because they change often. Never touch owner, stage or notes. Three safeguards make the rules safe to run.

- **One writer per field.** HubSpot's continuous enrichment [stops updating a property](https://knowledge.hubspot.com/records/enrich-your-contact-and-company-data) once a user or another system edits it. If your workflow writes the title, HubSpot's refresh of that title ends. Decide which source owns each field.
- **A trail you can undo.** HubSpot's [property history](https://knowledge.hubspot.com/records/view-record-property-history) shows each change with its date and source, and offers a Restore option for changes made by a CRM edit, an import or a workflow. Salesforce [field history tracking](https://help.salesforce.com/s/articleView?id=sf.tracking_field_history.htm&language=en_US&type=5) starts only from the moment you turn it on for a field, so turn it on before the first run.
- **Status, source and date beside every value.** A status such as verified or catch_all lets a list or report leave out weak values. A checked date shows which fields are due.

## What do HubSpot and Salesforce enrich on their own?

HubSpot enriches contacts that have a business email and companies that have a domain, and it fills job and company properties but no contact email or mobile. Salesforce copies Data 360 data into CRM fields and adds geocodes and Dun & Bradstreet company information through data integration rules. Here is the comparison, from each vendor's help pages.

| | HubSpot data enrichment | Salesforce enrichment features |
| --- | --- | --- |
| **What it fills** | [Contacts: job title, role, seniority, LinkedIn URL, location. Companies: industry, revenue, employee range, web technologies and more](https://knowledge.hubspot.com/records/enrich-your-contact-and-company-data) | [Data 360 enrichments copy fields and related lists from Data 360](https://help.salesforce.com/s/articleView?id=data.c360_a_enrich_your_org_with_data_and_insights.htm&language=en_US&type=5). [Data integration rules add geocodes and Dun & Bradstreet company information](https://help.salesforce.com/s/articleView?id=sf.ddc_data_integration_understanding_field_mapping.htm&language=en_US&type=5) |
| **What it needs** | [Contact: first name, last name, work email. Company: domain](https://knowledge.hubspot.com/records/get-started-with-data-enrichment) | A Data 360 object matched to the record, or a rule matched to accounts, contacts and leads |
| **How often it refreshes** | [Continuous enrichment updates enriched records monthly when new data is available](https://knowledge.hubspot.com/records/get-started-with-data-enrichment) | [Company info rules run about every 14 days](https://help.salesforce.com/s/articleView?language=en_US&id=data_integration_rule_configure_all.htm&type=0); third-party providers set their own schedule |
| **Overwrites existing values?** | Automatic: no, blanks only. Manual: your choice | Copy fields: yes, in a mapped field |
| **Cost** | [Included with paid hubs, no HubSpot Credits](https://knowledge.hubspot.com/records/get-started-with-data-enrichment) | [Data 360 enrichment usage affects credit consumption](https://help.salesforce.com/s/articleView?id=data.c360_a_enrich_your_org_with_data_and_insights.htm&language=en_US&type=5); [Lightning Data packages are licensed from providers](https://help.salesforce.com/s/articleView?id=limits_external_data.htm&language=en_US&type=5) |

Both are worth switching on for what they cover. They need no code and run inside the CRM. HubSpot turns [automatic enrichment off by default](https://knowledge.hubspot.com/records/get-started-with-data-enrichment), so a Super Admin must enable it. Salesforce describes its third-party Lightning Data as [firmographic, industry and region-specific](https://help.salesforce.com/s/articleView?id=limits_external_data.htm&language=en_US&type=5).

Where they stop, add an outside source. HubSpot's contact list has no email or mobile property to fill, so a contact with a gap there needs another source. Our [HubSpot data enrichment](https://enrich.chat/integrations/hubspot/) and [Salesforce data enrichment](https://enrich.chat/integrations/salesforce/) pages show how to fill it with Enrich.chat. The guide to the [best data enrichment tools](https://enrich.chat/blog/best-data-enrichment-tools/) compares the vendors, and [waterfall enrichment](https://enrich.chat/blog/waterfall-enrichment/) chains several sources when one misses.

## What does CRM data enrichment cost?

It depends on the source. HubSpot says its data enrichment [does not consume HubSpot Credits](https://knowledge.hubspot.com/records/get-started-with-data-enrichment), and it comes with paid hubs. Other sources charge by plan or by credit, and each counts a billable lookup differently. Our pricing guides cover [Apollo](https://enrich.chat/blog/apollo-pricing/), [Clay](https://enrich.chat/blog/clay-pricing/) and [ZoomInfo](https://enrich.chat/blog/zoominfo-pricing/). Ask every vendor three things: does a miss cost anything, do unused credits roll over, and does it need seats or a contract.

Here is a worked example on Enrich.chat's monthly credit plans, with the figures labelled as illustrative arithmetic. Take a CRM of 10,000 contacts. You fill a work email for every contact. You re-check 2,500 open-deal contacts, add mobiles for 500 target contacts and look up the tech stack of 2,000 accounts. Each lookup is a match that returns data. Figure 3 shows the credits for each job.

**Figure 3: Credits needed for four CRM enrichment jobs.** Bar chart of credits for four jobs on a 10,000-contact CRM if every lookup matches. Credits needed: 100,000 to fill 10,000 work emails, 25,000 to re-check 2,500 work emails, 125,000 to add 500 mobiles and 10,000 to look up the tech stack of 2,000 accounts. All four in one month need 260,000, which fits the Scale plan. Dashed lines mark the Growth plan allowance of 100,000 and the Scale plan allowance of 500,000.

*Credits for each job on a 10,000-contact CRM if every lookup matches, against the credits in the Growth and Scale plans. Illustrative arithmetic from the credit prices on [our pricing page](https://enrich.chat/pricing/), not a measurement.*

All four jobs together use 260,000 credits in the busiest month. That fits the Scale plan at $90 a month. A work email uses 10 credits, a mobile 250 and a tech stack 5. A lookup that finds nothing uses 0. Credits renew with each monthly payment, and unused credits do not roll over. Every plan has unlimited seats. See the [pricing page](https://enrich.chat/pricing/) for the full list.

## What can go wrong, and what do the privacy rules say?

Most failures come from the write step, not the data source. Watch for six.

- **Enriching before deduplicating.** One person becomes two records, and both get paid for.
- **Matching the wrong person.** A name and a company site can match a different person. A LinkedIn URL is a stronger key.
- **Treating a status as proof.** A `catch_all` domain accepts every address, so the mailbox cannot be confirmed. Test a domain with the [catch-all checker](https://enrich.chat/tools/catch-all-checker/).
- **Two writers on one field.** See the safeguards above: HubSpot's refresh stops when something else edits the property.
- **No way back.** Turn on property history or field history before the first run.
- **Expecting enrichment to fix a process.** In Validity's survey, 39% cited continuous automated monitoring as the top capability that would raise confidence in CRM data, 23% cited one unified platform, and 19% cited third-party validation or enrichment.

Privacy rules apply to enriched data as they do to any data. If you hold EU personal data that you did not collect from the person, [Article 14 of the GDPR](https://gdpr-info.eu/art-14-gdpr/) requires you to give them certain information, including the source of the data. You must do so within a reasonable period and at the latest within one month, and no later than the first message if you use the data to contact them. Article 14 lists exceptions, such as when giving the information would take disproportionate effort. HubSpot [may add limited fields to its commercial dataset](https://knowledge.hubspot.com/records/how-data-enrichment-works-in-hubspot) when it can verify a record, unless you use continuous enrichment only. Its [Enrichment opt out](https://knowledge.hubspot.com/properties/hubspots-default-contact-properties) property shows whether a contact is excluded from HubSpot's enrichment database. For calling and texting, read our guide to [TCPA and B2B cold calling](https://enrich.chat/blog/tcpa-b2b-cold-calling/). This is not legal advice, and enriching a record does not make any use of it compliant.

## How can an AI agent or API enrich your CRM with Enrich.chat?

You call the Enrich.chat API from an AI agent, a workflow or a script, send one record's key, and write the result back under your rules. Enrich.chat returns a work email with a status of `verified`, `catch_all` or `unknown`, a mobile with a line type, and the person's title and company. It also returns a company's industry, headcount, location and tech stack. Treat each value as a strong lead, not a guarantee.

```
curl -G "https://enrich.chat/v1/person" \
  --data-urlencode "linkedin_url=https://www.linkedin.com/in/jane-doe-ops" \
  --data-urlencode "fields=email"
{
  "found": true,
  "title": "VP Operations",
  "company": {"name": "Acme Logistics"},
  "work_email": {"value": "jane.doe@acmelogistics.com", "status": "verified"},
  "credits_used": 10,
  "free_lookups_remaining": 9
}
```

Three routes fit the steps above. An AI agent such as Claude can read your CRM through its connector and call Enrich.chat, as our [HubSpot MCP guide](https://enrich.chat/blog/hubspot-mcp/) shows. A HubSpot or Salesforce workflow can make the call, and the [HubSpot](https://enrich.chat/integrations/hubspot/) and [Salesforce](https://enrich.chat/integrations/salesforce/) pages cover each setup. A script, [n8n](https://enrich.chat/blog/n8n-lead-enrichment/) or a [Google Sheets](https://enrich.chat/integrations/google-sheets/) flow can loop over an export. Setup is one prompt: your agent reads [the agent page](https://enrich.chat/agents/) or adds the MCP server, and no key is needed to start. The free tier gives 10 lookups a day with no signup, enough to test a handful of records. The [person enrichment API](https://enrich.chat/api/person-enrichment/) page lists every field.

```text
Use www.enrich.chat to enrich the 50 contacts in my CRM export that have a LinkedIn URL but no work email. For each row, look up the work email with its status and the current title and company, flag every title or company that differs from my copy, change nothing that is already filled, and tell me the total credits_used
```

### What Enrich.chat does not do

- It has no native HubSpot or Salesforce app and no CRM sync. The agent, workflow or script you build writes the results back.
- It has no scheduled refresh and sends no job-change alerts. It answers when you call it, so you set the schedule from this page.
- It does not deduplicate or merge records. Do that in your CRM first.

Anyone can ask to be removed from Enrich.chat at [enrich.chat/opt-out/](https://enrich.chat/opt-out/), and requests are processed within 15 days. Users are responsible for following TCPA, CAN-SPAM and GDPR rules.

## Frequently asked questions

### What is CRM data enrichment?

CRM data enrichment fills missing fields in CRM records, and refreshes stale ones, by matching each record against an outside data source. A contact can gain a work email, a job title and a LinkedIn URL, and an account can gain an industry and a headcount. It differs from data cleaning, which fixes data you already hold. Our guide to [data enrichment](https://enrich.chat/blog/what-is-data-enrichment/) covers the basics.

### How often should you enrich CRM data?

Enrich a record when it is created, check a work email's status before each send, re-check title and employer every quarter for accounts you work, and refresh the whole database once a year. Fields age at different speeds: in [Cleanlist's re-check](https://www.cleanlist.ai/blog/2026-04-07-state-of-b2b-data-quality-2026) of one CRM, titles changed at 43.6% a year and mobiles at 5.0%. Our [B2B data decay guide](https://enrich.chat/blog/b2b-data-decay/) shows how to measure your own rate.

### Does CRM enrichment overwrite existing data?

It depends on the tool and the setting. [HubSpot's automatic enrichment](https://knowledge.hubspot.com/records/enrich-your-contact-and-company-data) fills only blank properties and does not overwrite values set by a user or another system, while its manual enrichment lets you choose. Salesforce's copy field enrichment overwrites a mapped field, and [Salesforce says](https://help.salesforce.com/s/articleView?id=sf.c360_a_create_a_copy_field_enrichment.htm&language=en_US&type=5) the old data cannot be recovered. Set a rule for each field.

### What data should you enrich in your CRM?

Start with the fields your team reads, routes on or sends with: work email, job title, employer, phone, then company size, industry and tech stack. Leave owner, lifecycle stage, notes and consent flags alone. Keep a status, a source and a checked date next to each enriched value, so you can filter, audit and undo changes. See [firmographic data](https://enrich.chat/blog/firmographic-data/) for the company fields.

### Do HubSpot and Salesforce enrich contacts on their own?

[HubSpot does](https://knowledge.hubspot.com/records/enrich-your-contact-and-company-data), for contacts with a business email: it fills job title, seniority, LinkedIn URL and location, but no email or mobile, and it comes with paid hubs. Salesforce copies Data 360 data into CRM fields and adds geocodes and [Dun & Bradstreet company information](https://help.salesforce.com/s/articleView?id=sf.ddc_data_integration_understanding_field_mapping.htm&language=en_US&type=5) through data integration rules. See our [HubSpot](https://enrich.chat/integrations/hubspot/) and [Salesforce](https://enrich.chat/integrations/salesforce/) enrichment pages.

### Can an AI agent enrich my CRM?

Yes, if the agent can read your CRM and call a data API. Claude, ChatGPT and Cursor can add the Enrich.chat MCP server or read agents.md, look up each record and show every value with its status before anything is written. Enrich.chat has no native CRM app and no sync, so the agent or your workflow does the write-back. The free tier gives 10 lookups a day with no signup.
