# What is data enrichment? Definition, types, examples and how it works

Data enrichment turns a thin record into one you can act on. Here are the types, a before and after example, the five steps, pricing models, data decay, and the GDPR and California rules.

By Enrich.chat Editorial. Updated October 15, 2026.

**Short answer:** Data enrichment is the process of adding missing details, such as a work email, job title or company size, to records you already have by matching them to another source. It works in five steps: match on a key like an email or domain, look it up, verify each field, merge it and refresh it later. For example, a name and company can become a verified work email, title and headcount.

## Key takeaways

- Data enrichment adds missing fields to records you already have. The five main B2B types are contact, firmographic, technographic, intent and role data.
- Every enrichment starts with a match key. HubSpot matches contacts on first name, last name and work email, and companies on domain.
- Contact data goes stale because people change jobs. In January 2026, half of US workers aged 25 to 34 had been with their employer 3.0 years or less, per the BLS.
- Enrichment is priced per seat with credits, by platform credits, by custom contract, bundled in a CRM, or as credits with unlimited seats. Check what you pay for a miss.
- GDPR requires a lawful basis and accurate data. In California, data brokers must register, and since August 1, 2026 they must process DROP deletion requests at least every 45 days.

## What is data enrichment?

Data enrichment is the process of adding missing details to records you already have by matching them against another source. A record that holds only a name and a company can come back with a job title, a verified work email, a mobile number, the company's size and its industry. [IBM defines data enrichment](https://www.ibm.com/think/topics/data-enrichment) as supplementing a dataset with information from internal or external sources to make it more useful and of higher quality.

In sales and marketing the same idea goes by several names. **Lead enrichment** fills in leads from forms and lists. **Contact enrichment** adds ways to reach a person, such as an email or a phone number. **B2B data enrichment** covers people and companies in a business setting. All of them follow one pattern: a key you trust goes in, and new fields come out.

Data enrichment is not the same as data cleansing. Cleansing fixes what is already there, such as typos, duplicates and bad formats. Enrichment adds what is missing. [IBM lists cleansing](https://www.ibm.com/think/topics/data-enrichment) as the first step before enrichment, and [Integrate's guide](https://www.integrate.com/resources/blog/what-is-data-enrichment/) puts it plainly: enrichment completes records, it does not clean them. Most teams run both in the same pipeline.

## What are the types of data enrichment?

The five main types of B2B data enrichment are contact, firmographic, technographic, intent and role data. Each one answers a different question about a lead. [IBM's list of enrichment types](https://www.ibm.com/think/topics/data-enrichment) also includes behavioral, geographic and psychographic data, which matter more in consumer marketing.

| Type | What it adds | Example | Usual match key |
| --- | --- | --- | --- |
| Contact | Work email, mobile, direct dial, profile URL | jane@acme.com, verified | Name + company, or a LinkedIn URL |
| Firmographic | Industry, employee count, revenue range, HQ location, founded year | Logistics, 420 employees | Company domain |
| Technographic | Software the company runs, such as its CRM, billing or analytics tools | HubSpot, Stripe | Company domain |
| Intent | Signs that an account is researching a topic or is in market | Reading about freight software | Company domain |
| Role (demographic) | Job title, seniority, department, location | VP Operations, VP level | Email or LinkedIn URL |

Firmographic and technographic fields describe the company, so one lookup by domain can enrich every contact who works there. Contact and role fields describe a person, so they need a person-level key. For full field lists and examples, read [firmographic vs technographic data](https://enrich.chat/blog/firmographic-data/), or test a domain with the free [tech stack lookup](https://enrich.chat/tools/tech-stack-lookup/).

Intent data works differently from the other four types. [Integrate notes](https://www.integrate.com/resources/blog/what-is-data-enrichment/) that intent enrichment works at the account level and ranks accounts by priority, rather than completing a record. Use it to decide which accounts to work first, then use contact and role data to reach the right people there.

**Figure 1: One contact record before and after enrichment.** An illustrative record. Before enrichment it holds only a name, Jane Doe, and a company, Acme Logistics. After one lookup it also has a title, seniority, company domain, employee count, industry and tech stack, plus a work email marked verified and a mobile marked as a mobile line. Each new field is labelled as role, firmographic, technographic or contact data.

*Illustrative example of one lookup. A name and a company go in. Role, firmographic, technographic and contact fields come back, and the email and mobile each carry a status. The fields mirror what the person and company endpoints in [Enrich.chat's agents.md](https://enrich.chat/agents.md) return.*

### What is email enrichment?

Email enrichment means two opposite jobs, and both are common. In the forward direction, you have a name and a company and you need the work email. In the reverse direction, you have an email address, often from a form fill, and you want the person and company behind it. The free [email finder](https://enrich.chat/tools/email-finder/) does the forward job. The [people enrichment API](https://enrich.chat/api/person-enrichment/) does both: it accepts a LinkedIn URL, an email, or a name plus company, and returns the profile, work email and mobile with a status on each field.

## How does data enrichment work, step by step?

Data enrichment works in five steps: pick a match key, look it up, verify what comes back, merge it into your record and refresh it later. The steps are the same whether you enrich one record from a web form or a million records in a nightly job.

**Figure 2: The five steps of the data enrichment pipeline.** Five stacked steps. One, pick a match key such as a LinkedIn URL, an email, or a name plus company. Two, look up the key in a data source. Three, verify each field, for example an email marked verified and a mobile marked as a mobile line. Four, merge the values into the record, filling empty fields and normalizing phone numbers to E.164. Five, refresh on a schedule using the stored lookup date. An arrow loops from refresh back to lookup.

*The five steps of data enrichment. The loop shows that a refresh is a new lookup and a new check, not a one-time job. Email checks rely on the SMTP replies defined in [RFC 5321](https://www.rfc-editor.org/rfc/rfc5321). Phone numbers are stored in the [ITU E.164](https://www.itu.int/rec/T-REC-E.164) format.*

### 1. Pick a match key

A match key is the field you already trust, used to find the same person or company in another source. The strongest keys are unique: a LinkedIn profile URL, a work email or a company domain. A name plus a company works too, but common names can match the wrong person. [HubSpot's built-in enrichment](https://knowledge.hubspot.com/records/get-started-with-data-enrichment) matches contacts on first name, last name and work email, and companies on domain. Enrich.chat's [agents.md](https://enrich.chat/agents.md) tells agents to pick the best key in each row in this order: LinkedIn URL, then email, then name plus company.

### 2. Look up the key

The lookup sends the key to a data source and gets back a candidate record. The source can be a vendor API, your CRM's built-in data or your own product data. A good lookup returns nothing when it is not sure, because a wrong match does more harm than a blank field. Check how each vendor bills for misses. [Clay's pricing page](https://www.clay.com/pricing) says an enrichment that returns no result costs no credits, and a lookup with `found` false uses 0 Enrich.chat credits.

### 3. Verify each field

Verification checks that a value is true now, not only that it was true when a database was built. For an email, a verifier asks the company's mail server whether the mailbox exists. Under [RFC 5321, the SMTP standard](https://www.rfc-editor.org/rfc/rfc5321), a server replies "250 OK" when it accepts a recipient and usually replies 550 when it knows the address is not deliverable. Some domains accept every address, so the check cannot confirm one person's mailbox. These are catch-all domains, and you can test one with the [catch-all checker](https://enrich.chat/tools/catch-all-checker/).

For a phone number, a line check shows whether the number is live. A live line shows that the number works, not that it belongs to the person. You can test a number with the free [phone number validator](https://enrich.chat/tools/phone-number-validator/).

### 4. Merge into the record

Merging writes the new values into your CRM or table without breaking what is already there. Set the rules before you run it: fill empty fields, keep values a person typed in, and overwrite only when the new value is verified. HubSpot's enrichment [keeps existing data](https://knowledge.hubspot.com/records/get-started-with-data-enrichment) unless you choose to overwrite it. Normalize formats as you merge, for example phone numbers in the [E.164 international numbering format](https://www.itu.int/rec/T-REC-E.164) defined by the ITU, so duplicates are easy to spot.

### 5. Refresh on a schedule

A refresh re-checks enriched fields, because people change jobs and companies grow, move and get bought. HubSpot offers continuous enrichment that [updates previously enriched records monthly](https://knowledge.hubspot.com/records/get-started-with-data-enrichment) when new data becomes available. For outreach, the safer habit is to verify an email right before you send it, not months earlier.

## What is the difference between real-time and batch enrichment?

Real-time enrichment runs on one record at the moment it is created, such as a form fill or a new CRM contact. Batch enrichment runs on a whole list at once, on a schedule or on demand. Most teams use both: real-time for new leads, and batch for the records they already have.

| | Real-time enrichment | Batch enrichment |
| --- | --- | --- |
| Trigger | A form fill, a new CRM record or an agent's request | A list, a CSV export or a scheduled job |
| Volume | One record per call | Many records per run, up to a full CRM |
| Best for | Routing and replying to inbound leads | CRM cleanup and backfilling old records |
| Watch for | Rate limits and cost per call | Data that ages between runs |

HubSpot supports both modes: [automatic enrichment for new records, and bulk enrichment](https://knowledge.hubspot.com/records/get-started-with-data-enrichment) from a list view or an import. With an API, a batch is a loop over rows. Agents that call Enrich.chat send [at most 5 requests per second](https://enrich.chat/agents.md), so a 1,000-row list takes a little over three minutes.

### What is waterfall enrichment?

Waterfall enrichment sends the same lookup to several providers in turn and stops at the first one that returns a value. It fills more fields when one source has gaps. The cost is more vendors, more setup, and a different billing rule for each provider in the chain. [Clay includes multi-provider waterfalls](https://www.clay.com/pricing) on every plan, including its free one. Our guide to [waterfall enrichment](https://enrich.chat/blog/waterfall-enrichment/) explains how it works and when one verified source is enough.

## What is data enrichment used for?

Teams use data enrichment to decide which leads to work, who should work them and what to say. [Zapier's guide to data enrichment](https://zapier.com/blog/data-enrichment/) lists the core sales uses as scoring, routing and prioritizing leads by seniority and company size. These are the five most common uses:

- **Lead routing.** Send each new lead to the right rep or queue by country, company size or industry, the moment it arrives. Your forms can stay short, because enrichment fills in the rest.
- **Lead scoring.** Score leads on fit, using title, seniority, headcount and tech stack, and not only on clicks and opens.
- **Personalization.** Write to a VP of Operations at a 400-person logistics company in a different way than to the founder of a 10-person startup.
- **CRM hygiene.** Fill blanks, fix formats and flag contacts who changed jobs. The [HubSpot data enrichment](https://enrich.chat/integrations/hubspot/) guide shows how to keep every contact current.
- **AI agents.** Give an agent a tool that returns verified contact data, so it never has to guess an email. The [contact data API for AI agents](https://enrich.chat/agents/) shows the full setup.

Enrichment also powers list building. You describe the buyers you want, a search returns names, titles and companies, and enrichment adds the contact details. The free [AI lead list builder](https://enrich.chat/tools/lead-list-builder/) runs that loop from a plain English description.

## How much does data enrichment cost?

Data enrichment is sold in five pricing models: per seat with credits, platform credits, custom contracts, bundled in a CRM, and credits with unlimited seats. The model matters as much as the list price, because it decides what you pay for a miss and for seats you do not use. We checked each vendor's own pricing page on October 15, 2026.

| Pricing model | How you pay | Example |
| --- | --- | --- |
| Per seat with credits | A monthly fee per user, with credits for exports and enrichment | Apollo Basic is $49 per seat per month billed annually, with 30,000 credits per seat per year ([Apollo pricing](https://www.apollo.io/pricing)) |
| Platform credits | A subscription that buys credits, and each enrichment spends some | Clay Launch is $185 a month, or $167 a month billed annually, with 2,500 data credits a month ([Clay pricing](https://www.clay.com/pricing)) |
| Custom contract | A quote from sales | ZoomInfo lists no prices. Packages depend on features, licenses and credit usage ([ZoomInfo pricing](https://www.zoominfo.com/pricing)) |
| Bundled in a CRM | Part of the CRM subscription | HubSpot enrichment comes with Starter, Professional and Enterprise hubs and does not use HubSpot Credits ([HubSpot docs](https://knowledge.hubspot.com/records/get-started-with-data-enrichment)) |
| Credits, unlimited seats | A monthly plan that buys credits for the whole team, and a miss spends none | Enrich.chat plans start at $29 a month for 100,000 credits. A work email found uses 10 credits, a mobile found 250, and a miss 0 ([pricing](https://enrich.chat/pricing/)) |

Three questions decide your real cost per contact. First, do you pay for misses? [Clay says](https://www.clay.com/pricing) enrichments with no result are free, and Enrich.chat spends 0 credits when nothing is found. Second, do you pay for seats? Apollo's plans are priced per seat, and [every seat on an Apollo account must be on the same plan](https://www.apollo.io/pricing). Third, what happens to unused credits? Read each vendor's terms before you buy.

Enrich.chat has unlimited seats and no annual contract. You get 10 free API lookups a day with no signup, then monthly credit plans from $29 for 100,000 credits, billed monthly. Credits are spent only on matches. See the [Enrich.chat pricing page](https://enrich.chat/pricing/) for details. For each vendor's plans in detail, read [Apollo pricing](https://enrich.chat/blog/apollo-pricing/), [Clay pricing](https://enrich.chat/blog/clay-pricing/), [ZoomInfo pricing](https://enrich.chat/blog/zoominfo-pricing/) and [People Data Labs pricing](https://enrich.chat/blog/people-data-labs-pricing/).

## How fast does enriched contact data go out of date?

Enriched contact data goes out of date as fast as people change jobs, because a work email belongs to the job, not the person. Vendors publish their own decay estimates, but their methods are rarely public. Public labor data shows the cause directly.

The [US Bureau of Labor Statistics](https://www.bls.gov/news.release/tenure.nr0.htm) reports that the median wage and salary worker had been with their current employer for 4.1 years in January 2026. For workers aged 25 to 34, [the median was 3.0 years](https://www.bls.gov/news.release/tenure.t01.htm), so half of them had been in their job for 3 years or less. The [BLS JOLTS survey](https://www.bls.gov/news.release/jolts.nr0.htm) counted 5.1 million job separations in August 2026 alone, a separations rate of 3.2 percent.

**Figure 3: How long US workers stay with one employer.** A bar chart of median years with the current employer in January 2026: 4.1 years for all wage and salary workers, 3.0 years for ages 25 to 34, 4.7 for ages 35 to 44, 7.0 for ages 45 to 54 and 9.6 for ages 55 to 64. A side panel shows 5.1 million US job separations in August 2026, a rate of 3.2 percent.

*Each job change can end a work email and a direct dial. Median tenure for US wage and salary workers in January 2026, and total job separations in August 2026. Sources: [BLS Employee Tenure](https://www.bls.gov/news.release/tenure.t01.htm) and [BLS JOLTS](https://www.bls.gov/news.release/jolts.nr0.htm).*

Three habits keep enriched data useful:

- **Verify at the time of use.** An email that passed a check last quarter may bounce today. Check it right before a sequence starts.
- **Store the status and the date.** Keep the status, such as verified or catch-all, and a timestamp next to each value, so you know what to trust. An Enrich.chat person lookup returns a `status` for the email and a `line` type for the mobile, so save the lookup date yourself.
- **Refresh on a cycle.** Re-enrich active accounts on a schedule, and re-check any contact before a rep calls.

Keeping data accurate is also a legal duty in the UK and the EU. The GDPR's [accuracy principle](https://ico.org.uk/for-organisations/uk-gdpr-guidance-and-resources/data-protection-principles/a-guide-to-the-data-protection-principles/accuracy/) asks you to correct or delete wrong data without delay.

## Is data enrichment legal under GDPR and CCPA?

Data enrichment is allowed under the GDPR and the CCPA, but only with a lawful basis, accurate data, clear notice and a working way to object or delete. The rules below come from the UK regulator, the ICO, and from California's privacy agencies. This is general information, not legal advice.

### What does the GDPR require for data enrichment?

- **Business contacts are personal data.** The [ICO's B2B marketing guidance](https://ico.org.uk/for-organisations/direct-marketing-and-privacy-and-electronic-communications/business-to-business-marketing/) says a work email that identifies a person is personal data, even when they act for their business. That person can object to direct marketing at any time, and the ICO calls this right absolute.
- **You need a lawful basis.** The [ICO's guide to lawful basis](https://ico.org.uk/for-organisations/uk-gdpr-guidance-and-resources/lawful-basis/a-guide-to-lawful-basis/) says you must apply at least one basis whenever you handle personal information. Legitimate interests is one of them, and it applies only when your interest is not overridden by the person's rights.
- **Data must be accurate.** The [accuracy principle](https://ico.org.uk/for-organisations/uk-gdpr-guidance-and-resources/data-protection-principles/a-guide-to-the-data-protection-principles/accuracy/) in Article 5(1)(d) says every reasonable step must be taken to erase or correct inaccurate data without delay. Verification and refresh help you meet it.
- **You must tell people.** When you get personal data from another source, you must give the person privacy information [within a reasonable period and no later than one month](https://ico.org.uk/for-organisations/uk-gdpr-guidance-and-resources/individual-rights/the-right-to-be-informed/).
- **Appending is risky for marketing.** Finding extra contact details for your customers from other sources is what the [ICO's direct marketing guidance](https://ico.org.uk/for-organisations/direct-marketing-and-privacy-and-electronic-communications/direct-marketing-guidance/collect-information-and-generate-leads/) calls data matching or appending. It says this is likely to be unfair in most cases if people have not agreed. The same guidance says a third party's assurances are not enough, so you must do your own checks on any data you buy.

### What do the CCPA and the Delete Act require?

- **B2B data is covered.** The CCPA's exemption for business-to-business information [expired on December 31, 2022](https://oag.ca.gov/privacy/ccpa). A California resident's work contact details now carry the rights to know, delete, correct and opt out of sale or sharing.
- **Who must comply.** Per the [California Privacy Protection Agency](https://cppa.ca.gov/faq.html), the CCPA applies to for-profit businesses in California with gross annual revenue of $26.625 million or more, or that buy, sell or share the personal information of 100,000 or more California residents, or that earn half or more of their revenue from selling or sharing it.
- **Data brokers must register.** A data broker is a business that knowingly sells personal information about consumers it has no direct relationship with. Brokers must [register and pay an annual fee between January 1 and 31](https://cppa.ca.gov/data_brokers/). The 2026 fee is $6,000.
- **Brokers must honor DROP.** The Delete Act created [DROP, the Delete Request and Opt-out Platform](https://privacy.ca.gov/drop/), where a Californian can send one deletion request to every registered broker. It opened to consumers on January 1, 2026. Since August 1, 2026, brokers must check DROP at least once every 45 days and process the deletion requests.

If you buy enrichment, ask each vendor how it handles opt-outs and deletion requests. Anyone can remove their data from Enrich.chat at [enrich.chat/opt-out/](https://enrich.chat/opt-out/), and requests are processed within 15 days. You stay responsible for following the laws that apply to your own outreach.

## How do AI agents use data enrichment?

AI agents use data enrichment as a tool call: the agent sends a match key to an API and gets back verified fields, instead of guessing from memory. [OpenAI's function calling guide](https://developers.openai.com/api/docs/guides/function-calling) describes tool calling as the way models connect to external systems and access data outside their training data. A contact data API is one of those systems.

With Enrich.chat, setup is one prompt. The agent reads [enrich.chat/agents.md](https://enrich.chat/agents.md), then calls plain HTTPS endpoints. `/v1/person` takes a LinkedIn URL, an email, or a name plus company. `/v1/company` takes a domain and returns the name, industry, headcount, state and country, and `/v1/company/tech` returns its tech stack. Each work email comes back as verified, catch_all or unknown, and each mobile as mobile or unknown, which is the number's type. When nothing matches, the response says `found` is false and the lookup uses 0 credits.

```text
Use www.enrich.chat to enrich my lead list with job title, seniority, company size, industry and a verified work email. Keep my original columns, mark rows with no match as not found, and flag catch-all emails.
```

The rules in agents.md tell the agent to report only what the API returned and to say "not found" for anything missing, so it never invents an email. For one-key lookups, see the [LinkedIn URL to email and mobile API](https://enrich.chat/api/linkedin-to-contact/). For ready-made sales workflows, read [Claude for sales](https://enrich.chat/blog/claude-for-sales/). If your team works in HubSpot, the [HubSpot MCP guide](https://enrich.chat/blog/hubspot-mcp/) shows how to enrich CRM contacts from Claude.

## Frequently asked questions

### What is an example of data enrichment?

A web form captures only a name and a company: Jane Doe at Acme Logistics. Enrichment looks up that pair and adds her job title, her seniority, the company's domain, headcount, industry and tech stack, plus a work email marked verified and a mobile marked as a mobile line. The rep now knows who Jane is, whether her company fits, and how to reach her, without making the form longer.

### Is data enrichment the same as data cleansing?

No. Data cleansing fixes the data you already have: it removes duplicates, corrects typos and standardizes formats such as phone numbers. Data enrichment adds data you do not have yet, such as a job title, company size or work email, from another source. [IBM](https://www.ibm.com/think/topics/data-enrichment) treats cleansing as the first step of enrichment, because a clean, deduplicated record matches more reliably. Most teams run both in the same pipeline.

### What is lead enrichment?

Lead enrichment is data enrichment applied to sales leads. It takes the little you know about a lead, often just a name and email from a form, and adds what sales needs: title, seniority, company size, industry, tech stack and verified contact details. Teams use it to route each lead to the right rep, score fit and personalize the first message. It can run in real time on every form fill or in batches across a CRM.

### What are the best data enrichment tools?

The best data enrichment tool depends on where your team works. Sales teams that want a large database inside one app often look at Apollo or ZoomInfo. Teams that build custom workflows across many providers use Clay. HubSpot users get built-in enrichment on Starter plans and up. Developers and AI agents need an API that returns a status for each field and spends credits only on matches, such as Enrich.chat. Our guide to the [best data enrichment tools](https://enrich.chat/blog/best-data-enrichment-tools/) compares them.

### How often should you refresh enriched data?

Re-enrich active accounts on a regular cycle, monthly or quarterly, and verify each email right before you send. People change jobs often: the [BLS](https://www.bls.gov/news.release/tenure.nr0.htm) found that half of US workers aged 25 to 34 had been with their employer 3.0 years or less in January 2026. HubSpot's continuous enrichment updates enriched records monthly. Enrich.chat returns a status with every work email and a line type with every mobile, but verify each email again right before you send.

### Do you need consent to enrich B2B contact data?

Not always. Under the UK GDPR, consent is one of several lawful bases, and legitimate interests can apply when your interest is not overridden by the person's rights. You still have to tell people within one month that you hold their data, keep it accurate, and stop marketing to them if they object, which the [ICO calls an absolute right](https://ico.org.uk/for-organisations/direct-marketing-and-privacy-and-electronic-communications/business-to-business-marketing/). In California, B2B contacts also have CCPA rights. This is general information, not legal advice.
